Choose a role that matches each person's daily work. Management and dispatch roles can also receive driver access. Roles apply only in the workspace you have selected: if you belong to several fleets or businesses, check the active workspace first.

Role changes follow the limits below. Owners cannot be removed, and ownership cannot be transferred through the normal team settings. Some features also require the relevant fleet plan or setup; a role alone does not unlock them.
What each role does
- Owner: uses every dispatch and management area, manages billing, payment details and tariffs, invites, changes and removes members, assigns every other role and can delete the workspace. Ownership cannot be transferred through the normal team settings.
- Admin: dispatches orders, drivers and vehicles, manages fleet settings and platform access, manages team members, and manages billing, payment details, tariffs and extras. Admins cannot appoint owners or other admins and cannot delete the workspace.
- Fleet manager: dispatches orders and assigns drivers or vehicles, manages platform access, proof of delivery and selected fleet settings, invites dispatchers and drivers, changes roles below their own, and maintains the fleet's company details (legal name, legal form and registered address) and phone number. Fleet managers cannot remove members or manage billing, tax details, payment details or fleet tariffs.
- Dispatcher: runs daily operations. Dispatchers see internal and available orders, assign or change drivers, adjust appointments and tours, take or release marketplace orders, use vehicle and customer information, work the shared fleet inbox, review or discard email orders or create them manually, invite dispatchers and drivers, and manage POD destinations. Dispatchers cannot change existing members' roles or manage master data, email intake setup, platform access, integrations, billing, tariffs or payment details.
- Driver: sees assigned orders and tours, manages their duty and availability status, uses navigation and order details, sends and reads order messages, and handles pickup, delivery, scans and proof of delivery. Drivers cannot dispatch fleet orders or change team, fleet or billing settings.
Who can assign each role?
| Your role | Roles you can assign |
|---|---|
| Owner | Admin, fleet manager, dispatcher, driver |
| Admin | Fleet manager, dispatcher, driver |
| Fleet manager | Dispatcher, driver |
| Dispatcher | Dispatcher or driver by invitation; cannot change existing members' roles |
| Driver | None |
Owners, admins, fleet managers and dispatchers can also add existing drivers directly by phone. Other roles use an invitation so the recipient can accept membership.
A phone invitation cannot change an existing member's role. If the recipient already belongs to the workspace, change their role in team management. Adding an existing driver directly by phone can grant driver access alongside their current role, within your permissions. Expired invitations cannot be accepted; send a new invitation if access is still needed.
Give someone driver access
Driver access is separate from a management or dispatch role. Enable This person also drives when editing a team member, or Also drives when reviewing an email invitation, if the person should drive assigned orders too.
- A dispatcher without driver access works in dispatch.
- A dispatcher with driver access can also drive assigned orders.
- A driver has access to their own orders, tours and delivery tasks, with no fleet administration access.
Change a role
Open Fleet → Team, select Edit beside the member, choose a role and save. The available roles depend on your own role.
When inviting someone, add their contact details and select Review roles to check their access before sending the invitation.
Features that depend on your plan
Depending on the fleet plan, these areas can be available:
- Platform and marketplace orders
- Internal fleet orders
- Proof of delivery
- Fleet administration
- Billing and payments
- Customer portal and booking page
- Customer accounts and CRM
- Fleet tariffs
- Email intake
- Integrations and API access
- AI-assisted dispatch
- Route optimization and guided navigation
A role alone does not unlock these features.
If the customer portal is not enabled, Direct orders shows an access notice with a link to the available plans. Booking pages, embedded forms and email-intake setup also require customer portal access and internal orders. Admin rights do not override workspace feature access; internal dispatch does not require the customer portal.
If a feature is missing
- Is the right workspace selected?
- Do you have the required role?
- Is the feature included in your fleet plan?
- Does an owner or admin need to set it up first?
If something is still missing, contact the owner or an admin of your workspace.
