You can assign an internal order to an external driver with a mobile number. The invitation link opens the Maxmove Driver app first. If the app is not installed yet, the link leads to the installation and then back to the transport. The driver can also handle the whole transport in the browser.
Assign a transport
- Open the order in dispatch and choose Assign driver.
- Select External contact, enter the driver's name and mobile number, and choose German or English as the Driver language.
- Save the assignment.
The order shows whether the invitation is being prepared, sent, delivered or read, and when the driver has switched to the app. You can resend the invitation if needed. When you reassign the order, the previous driver's access ends automatically.
If the driver signs up with the invited, verified mobile number, they join your fleet workspace as a driver and keep the order already assigned to them. The mobile number is prefilled during registration and must be confirmed.
App and browser
The app and the browser show the same transport, the same stops and the same next step. The driver can confirm the transport, report arrival and completion, report a problem and share their location. If proof of delivery is required, the existing secure web proof opens.
Every action updates the same order. Switching between app, browser and WhatsApp never creates a separate transport status.
Enable WhatsApp explicitly
By default, WhatsApp is only an invitation and chat channel. Free-text messages and attachments appear in the existing order chat.
If a driver should handle the transport directly in WhatsApp, choose Run transport via WhatsApp in the order. Only then does the driver receive buttons for the next step. This setting applies to the current assignment only.
System messages and buttons use the driver language chosen during assignment. Replies from the order chat are delivered through WhatsApp. Outside the WhatsApp service window, a message waits for the approved Maxmove template and is delivered after that.
Location sharing
The app and the browser show the full route, the next stop and any handover notes. The driver decides when location sharing starts and ends. With the WhatsApp flow enabled, the driver can send a single location in WhatsApp.
Documents and proof of delivery
Photos and PDF documents sent through WhatsApp are available to dispatch in the order chat. Regular attachments stay chat documents and do not count as proof of delivery automatically.
If the current stop requires a photo of the goods or of a signed paper delivery note, choose Request delivery proof via WhatsApp in the order. Only the matching photo checked right after that request is also added to the order's formal proof of delivery. If the image is blurry, incomplete or shows the wrong content, Maxmove asks for a new photo.
For on-screen signatures, sender or recipient names, age checks, barcodes or several delivery notes to match, the driver still opens the secure web link. Photos already received through WhatsApp are kept.
Unsubscribing from WhatsApp
The driver can stop further WhatsApp messages by sending STOP or ABBESTELLEN. START or ANMELDEN turns them back on for the transport. Unsubscribing also ends location tracking.
