Consignment notes (CMR)

Create a CMR or German freight note from an order, collect signatures at pickup and delivery, correct it and share copies.

Written by the Maxmove team

An order with one pickup and one delivery can carry one consignment note: an international CMR for carriage between two countries, or a German freight note (Frachtbrief) for carriage within Germany. Maxmove prepares the note from the order, so you only add what is missing.

Notes cover ordinary goods. Dangerous goods, removals, carriage that depends on customs and successive carriers are not included.

Create the note

In your workspace settings, set Consignment notes for new orders to Paper or Electronic. Your fleet then gets a draft whenever an order is assigned to it. With Off, you can still create a note on a single order.

In the order, the Consignment note row offers Create consignment note for cross-border orders, and for every order once your workspace creates notes. Maxmove fills in the parties, addresses, dates, goods, packaging and carrier from the order and the verified company details. Complete parts show as one line; select Edit to change one. Parts that are missing a detail open with it marked. Confirm that the goods are ordinary freight and save.

An order has one note. If the shipper or carrier already prepared it, you see that note instead of a new one.

Electronic notes need both countries to apply the e-CMR protocol. Maxmove checks each route against the UN register; on other routes, for example to Belgium, it prepares a paper note. You can switch a draft between electronic and paper.

Sign electronically

  1. Sender. If you booked the order, select Sign as sender. Otherwise the sender signs on the driver's phone at pickup, or you choose Send link to sender: the sender opens the link on their own phone, enters the code sent by SMS to the order's pickup contact, reviews the note and signs.
  2. Carrier. The driver confirms the takeover in the driver app and can add reservations, for example about the condition of the goods.
  3. Consignee. At delivery, the consignee signs on the driver's phone. That one signature also confirms the delivery. Shortages, damage or refused goods recorded at delivery become reservations on the note. You can also choose Send link to consignee so they sign on their own phone.

Every signer confirms they may act for their party and accepts the procedure for electronic consignment notes. On the driver's phone, a signature given without a connection is saved and sent once the phone is online. The note then shows the phone's time next to the time it arrived; if the note changed meanwhile, the party signs again. Each signature is sealed, and the PDF is ready a moment later.

If the phone cannot save a signature, the app shows an error. Retry before continuing the handover; that signature has not been saved for sending later.

Correct, switch to paper or cancel

  • Correct an issued note and say what changed. Everyone signs the new version; earlier versions stay under Versions.
  • Switch to paper when the electronic procedure can't be completed. The reason is recorded, and the electronic record stays linked to its paper replacement.
  • Cancel note withdraws it.

If an order moves to another carrier before pickup, its note becomes a draft again with the new carrier. People who signed with their own phone or Maxmove Account get a notice about corrections, switches and cancellations.

Paper notes

Select Issue paper note, download the PDF and print the originals: three for an international CMR, for the sender, the carrier and the goods. Once they're signed, upload the scan under Documents with Upload signed paper note.

Copies and evidence

  • PDF is the readable note. Drivers keep it on their phone for roadside inspections, also without a connection.
  • Share a copy gives an inspector or another party read-only access to that version and its accompanying documents after they verify their phone. Access lasts 24 hours and you can remove it at any time.
  • Evidence (JSON) contains the exact reviewed contents with the seals and their validation reports, for disputes and archives.
  • Documents holds accompanying PDFs of up to 20 MB each. Adding one to an issued note is a correction.
