Vehicle owner and registration: what Maxmove asks for

Independent drivers need no proof of vehicle ownership. Fleets upload a vehicle registration or lease contract for platform access. What to do if the vehicle belongs to someone else.

Written by the Maxmove team

In short: As an independent driver, you don't have to prove that you own your vehicle. You only add it in the app and activate it. A vehicle registration is only uploaded by a fleet that applies for access to the Maxmove platform. If the app asks for your details as the Owner, it means the owner of your business, not the registered keeper of the vehicle.

Independent drivers: just an active vehicle

The driver checklist shows the Vehicle item with "Add an active vehicle". To complete it:

  1. Open My Vehicles in your profile.
  2. Add your vehicle or pick an existing one.
  3. Tap Activate.

The app does not ask who owns the vehicle and does not ask for a vehicle registration. The documents you do need are listed in Complete onboarding and document checks.

If you drive for a fleet, the fleet can manage your vehicles itself. My Vehicles then shows "Vehicles are managed by your fleet", and you contact your fleet manager.

Fleets: vehicle registration for platform access

Maxmove asks for a vehicle registration from fleets that want to take orders from the Maxmove platform. This also applies if you set up a fleet on your own as a sole trader.

Where to upload it:

  • Maxmove Driver app: in Fleet control, through the notice on the home screen or the Platform access row.
  • Web dashboard: under Platform. There the step is called Vehicle registration or lease contract.

Owners, admins and fleet managers can upload it.

Which documents count:

Document What matters
Vehicle registration (Zulassungsbescheinigung Teil I) From a vehicle you use for transport. One vehicle is enough.
Lease contract In your name for a sole trader without a commercial register entry, otherwise in your company's name.

Upload a PDF or a photo up to 25 MB. If you already stored the registration on one of your vehicles, take it over with Use a vehicle's registration.

The name notice on the registration

Maxmove reads the registered keeper from the vehicle registration and compares it with your company details. If it doesn't match, Please check shows "The name on the document doesn't match your company details."

This is a notice, not a rejection. You can still save and submit. Maxmove decides during the review. If Maxmove declines the document, it shows Declined with the reason, for example "The company name doesn't match your fleet's details." Then upload a matching document.

If the vehicle belongs to someone else

  • Leasing: upload the lease contract. It must be in your name or your company's name, as described above.
  • A vehicle from family, friends, your employer or a rental company: the app has no separate document for this, such as a usage agreement. If you have another vehicle registered to you or your company, or a lease contract, upload that instead. Otherwise you can still upload the registration. You then see the name notice, and Maxmove decides during the review.

"Owner" means your business, not the vehicle

During platform access, one step asks about the people behind your business. For a sole trader it is called Owner: "Your details as the owner. We need them to pay you out." For companies it is called Directors and owners or Partners. You confirm your identity there with an identity check. This has nothing to do with the registered keeper of your vehicle. More in the platform access guide.

As an independent driver, Maxmove may also ask you for an identity check. See Identity check during registration.

Contact support

If none of these documents fits your case, contact support before you submit. In the driver app, open Help & Support and tap Chat with support. Say whether you registered as an independent driver or as a fleet, and which step is open. Do not send photos of documents in the chat.
