Proof of Delivery Template

The proof of delivery (POD) – German: Abliefernachweis – documents that a shipment arrived complete, undamaged, and with the right recipient. It decides claims, liability questions, and payment releases. With this free template you record every handover cleanly.

What must a proof of delivery contain?

For the document to hold up in a dispute, it needs these details – the template has a dedicated field for each:

• Shipment, order, or reference number
• Sender and recipient (company, name)
• Place and time of delivery (date and time)
• Number and type of packages handed over
• Condition of the shipment at handover, incl. a field for reservations (e.g. "packaging damaged") – for larger damage, add a damage report
• Printed name and signature of the person accepting
• Name of the driver or carrier

Why the proof of delivery matters

With the handover, the carrier's custody liability ends (§ 425 HGB). Without documented delivery there is no way to prove later that the shipment was delivered, to whom, and in what condition. The consequences: contested damage claims, delayed payment releases, and discussions with shippers who only pay against a signed POD. The signature on the proof of delivery acts like a receipt for the goods.

Paper or digital?

The template works everywhere – a clipboard is enough. Its limits show at volume: sheets get lost, signatures are illegible, and it takes days until the proof reaches accounting. Frequently asked questions

Is a proof of delivery legally required? No. But it is the central piece of evidence that the carrier fulfilled its obligation – and most commercial shippers demand it.

Is a signed delivery note sufficient as POD? Often yes: a delivery note signed and dated by the recipient documents acceptance. A dedicated POD additionally records condition, time, and reservations – which makes it stronger in a dispute.

What about drop-off permissions without a recipient present? Then photo, drop-off location, and timestamp replace the signature. Record the drop-off permission in writing and note the location in the reservations field.

How long should PODs be retained? At least until the freight-law limitation periods expire (generally one year, three years in case of qualified fault) – and six years as commercial correspondence.
