What a medical courier service for practices has to deliver

Practices regularly have runs that neither the lab's courier nor the pharmacy covers: the urgent sample after the last pickup, the doctor's letter with imaging the hospital needs before a planned operation, vaccines that have to move from one site of a medical centre to another, or supplies from a medical dealer that are needed today. Often a medical assistant does this in their own car – and is then missing at reception.

Each of these consignments has its own rules. Samples are usually UN 3373 and belong in P650 packaging. Vaccines need 2–8 °C without interruption and must not freeze. Reports and records are covered by medical confidentiality and are health data under the GDPR. And under the German Pharmacy Operations Ordinance, medicines from the pharmacy are brought by the pharmacy's own delivery service, not by any courier.

A car takes the box across the Rhine without stopovers; at the destination it goes straight into the vaccine fridge. The proof of delivery shows who accepted it and when.

  • Neuss: an urgent sample to the lab in Düsseldorf

    An internal medicine practice in central Neuss has one more urgent sample after its lab's pickup round. The medical assistant packs it into the lab's P650 box, puts the request form inside the outer packaging and books a car. The driver collects the box at reception and drives straight to the lab's specimen reception in Düsseldorf. The practice sees the arrival via live tracking and the name of the receiving person in the proof of delivery.

  • Krefeld: reports and images before a planned operation

    An orthopaedic practice in Krefeld sends a doctor's letter, reports and a CD with MRI images to the office of a surgical hospital in Uerdingen, because the patient is operated on the next morning. The documents travel in a sealed, opaque envelope addressed to a named person. The driver – by car or, within the city, by cargo bike – hands over only to that person or their named deputy and has the handover signed for.

What practices need to observe when sending

Samples, vaccines, records and medicines – which rule applies and who is responsible.

  • Samples: UN 3373 under P650

    Diagnostic samples are usually “Biological substance, Category B” (UN 3373). As sender, the practice uses triple packaging – primary receptacle, secondary packaging, outer packaging – with absorbent material for the full volume of any liquid, and applies the UN 3373 diamond together with “BIOLOGICAL SUBSTANCE, CATEGORY B”.   • Vaccines: cold chain at 2–8 °C

    Cold-chain medicines such as most vaccines must stay at 2–8 °C without interruption and must neither freeze nor come into direct contact with ice or ice packs. The practice packs into a suitable cool box, keeps packs and vaccine apart and adds a thermometer or data logger. Maxmove carries the box passively cooled; we arrange temperature-controlled transport as soon as a suitably equipped vehicle is available. At the destination, the vaccine goes straight into the fridge.

  • Reports and records: confidentiality

    Doctors' letters, reports and imaging are health data under Art. 9 GDPR and fall under medical confidentiality under section 203 of the German Criminal Code. If a practice involves third parties in its work, section 203(4) requires it to ensure they are bound to confidentiality. In practice: hand over documents in a sealed, opaque envelope or box and name the recipient. The driver sees no contents; the proof of delivery records who accepted it and when.

  • Medicines from the pharmacy

    Under section 17 of the Pharmacy Operations Ordinance, pharmacies dispense medicines on their premises and may deliver them through their own messengers or, with a mail-order licence, by mail order. Medicines – including those for practice supplies – are therefore usually brought by your pharmacy's delivery service, not by an external courier.     Handover of the sealed consignment

    The medical assistant hands over the packed box or sealed envelope. The driver opens nothing and secures the consignment in the vehicle.
