Same-day means pickup and delivery on the same day, with a plannable time window. How to work out whether a shipment can still arrive today, when overnight is the better choice and what retailers need to observe for delivery on the same day.

Same-day delivery: what ‘on the same day’ means in a parcel network and with a courier

Same-day delivery literally means delivery on the same day. Behind it are two very different models. Parcel carriers offer same day in selected metropolitan areas: the shipment has to be in the network by a fixed cut-off, is bundled with many other shipments and is usually delivered in the evening within a delivery window. That works for standard-size parcels when sender and recipient are both inside the delivery area.

A same-day courier works without a network. One vehicle collects the shipment from you and drives it straight to the recipient – no depot, no reloading and no parcel size limits. That makes same day possible for a pallet, a piece of furniture or an oversized spare part, and for routes no parcel carrier covers on the same day.

The difference also shows in the price: a courier drives your shipment exclusively, a parcel carrier shares the round with many others. For a single urgent shipment the courier is often the only option; for many small parcels a day, it is worth comparing. How late can same day work? Work back from the latest collection time

A direct drive has no fixed cut-off. Whether a shipment still arrives today is decided by a simple backwards calculation – and it starts with the recipient, not the sender.

The starting point is the latest acceptance time at the destination: when does goods receipt close, when does reception go home, when does the installation start for which the part is needed? Subtract the driving time you see at booking, plus time for parking, registration and handover. The result is the latest time the shipment must be collected. Before that comes your own preparation: picking, packing, printing the delivery note.

Typical mistakes: the shipment is booked but not yet packed when the driver arrives. The recipient’s goods receipt closes earlier than the office that placed the order. Or the delivery address is on an industrial estate where nobody opens the door after hours.

If you know about the shipment in the morning, book with a fixed collection time rather than at the last minute. From Cologne, Düsseldorf or the Ruhr area, a direct drive can also reach destinations outside North Rhine-Westphalia on the same day – provided collection, driving time and acceptance time at the destination fit into that day.

Offering same day in an online shop: what the checkout must show

If you offer consumers delivery on the same day in your online shop, you are selling a delivery promise – and that has to be clear before the order is placed. Under Article 246a Section 1 of the Introductory Act to the German Civil Code (EGBGB), retailers selling at a distance must state, among other things, the date by which they undertake to deliver and any additional freight, delivery or shipping costs. For same day this means: order cut-off, delivery area and delivery surcharge belong visibly in the checkout, not only in the confirmation email.

A clear rule such as ‘order by noon, delivered by evening’ for a defined area, for example Cologne and the neighbouring towns, has proven itself. Set the cut-off so that picking and the drive fit in safely even on a busy day. For goods that do not fit in a parcel – armchairs, lamps, fridges – a direct drive with a carrying helper is often the only same-day option.

Also describe in the shop what happens if a delivery fails because nobody answers the door: a new appointment, collection from the store or return transport. Same day or overnight: when delivery the next morning is enough

Not every shipment sent today has to arrive today. Often all that matters is that it is there early tomorrow, when the fitter sets off or the branch opens. There are two ways to do that.

Overnight services collect shipments in the evening, tranship them in their network during the night and deliver them the next morning by an agreed time. For standard-size parcels that is a good solution, as long as the goods can handle transhipment and the recipient is in a well-connected area.

The alternative is a scheduled drive the next morning: you book today, choose an early collection time, and one vehicle drives the shipment straight to the destination. This pays off for goods that do not fit the parcel network or should not be reloaded, and when you need a handover at a specific time.

Same day remains the right choice when the shipment is still useful today: a spare part for the late shift, a contract that has to be signed today, a purchase the customer wants to assemble this evening. How businesses plan such drives instead of improvising them is explained under urgent deliveries.

Check on acceptance: visible damage at once, hidden damage within seven days

Delivering on the same day often means delivering under time pressure – which makes a clean handover all the more important. The German Commercial Code sets out when damage must be reported (Section 438 HGB). If damage is visible from the outside, such as a crushed box or a broken pallet, and the recipient does not report it at the latest on delivery, the shipment is presumed to have arrived complete and undamaged. Hidden damage that only shows when unpacking must be reported in text form within seven days of delivery. Claims for exceeding the delivery period lapse unless they are reported within 21 days.

For the recipient this means: count the packages, look at the packaging, report anything unusual to the driver straight away and take photos. The digital proof of delivery records the time, signature and photos of the handover and is therefore also your record of the condition in which the goods were handed over. Ask your customers in advance to check the goods briefly on handover – especially furniture and appliances that will only be unpacked in the evening.
