Spare parts logistics means holding the right part, finding it quickly and getting it to the machine. Stockholding and planning cover the first two steps. A van collects it and drives straight to the plant gate. The receiving side needs to provide the name of the maintenance contact, a gatehouse registration and the purchase order number as a reference, which then appears on the invoice.

  • Variable-speed drive for a packaging line in Siegen

    A packaging line in Siegen-Geisweid is down because a variable-speed drive has failed; the manufacturer has a unit in stock at its warehouse in the Rhineland. A car is enough: the drive stays in the manufacturer's ESD packaging and the box is secured in the vehicle so it cannot slide. What the rules say about moving spare parts

Packaging, load securing, dangerous goods, damage reporting and liability – and who is responsible for each.

  • Packing and loading: the sender's job

    Under Section 412 of the German Commercial Code (HGB), the sender must load, stow and secure the goods so they are safe for carriage unless agreed otherwise; the carrier is responsible for loading that keeps the vehicle safe to operate. For spare parts this means: electronics such as boards, drives and PLC modules stay in the manufacturer's ESD packaging, and heavy parts are fixed to a pallet and secured against tipping. Include the delivery note with the part number and enter weight and dimensions when you book.

  • Load securing: Section 22 StVO and VDI 2700 Part 16

    Inside the vehicle, the load must be secured so that it cannot slide, tip over or fall even under emergency braking or a sudden evasive manoeuvre, following recognised engineering practice (Section 22 of the German Road Traffic Regulations, StVO). For vans up to 7.5 t gross vehicle mass, guideline VDI 2700 Part 16 describes the methods.   • Declare dangerous goods in advance

    Some spare parts are dangerous goods under ADR: airbag modules and seat-belt pretensioners (UN 3268, class 9), lithium-ion batteries (UN 3480, or UN 3481 when in or packed with equipment) and wet starter batteries (UN 2794, which special provision 598 can exempt). Under ADR 1.4.2.1 the consignor must hand over a compliant consignment: correctly classified, in approved packaging and with the information the carrier needs. Name such parts explicitly when you book – we confirm before pickup whether the drive can go ahead in that form.

  • Report damage at handover at the latest

    Visible damage or missing packages must be reported at delivery at the latest; otherwise the law presumes that everything arrived complete and undamaged. Hidden damage must be reported in text form within seven days (Section 438 HGB). The digital proof of delivery records the time, the recipient and photos. Check the box and pallet at handover and report anything unusual straight away, before the part disappears into the maintenance workshop.

  • Liability by weight, not by value

    Maxmove drives are insured. The statutory carrier liability for loss or damage, however, is capped at 8.33 Special Drawing Rights per kilogram of gross weight (Section 431 HGB). For light, high-value parts such as control boards or servo amplifiers, the value of the goods can be far higher. State the value before booking so we can confirm in advance whether the cover is sufficient or whether your own goods-in-transit insurance should cover the drive.

Which vehicle suits which spare part

Sensors, boards and seal kits travel by car. Drives, pumps and boxes up to two Euro pallets fit into the high-roof compact van. Gearboxes, motors and bearing parts on pallets go in the van or the Sprinter; the 3.5-tonne box van takes five to eight Euro pallets and up to 1,200 kg, the 7.5-tonne truck 12 to 15 Euro pallets and up to 3,000 kg.
