Dealership parts logistics: when the lift is waiting for a part
At a dealership, parts supply decides how busy the workshop is. Regular deliveries come on the scheduled runs of the manufacturer's parts warehouse and the parts wholesaler. If a brake caliper, a sensor or a control unit is missing outside those runs, the customer's car sits on the lift, the courtesy car is out, and the next appointment slips. On top of that come drives that have nothing to do with parts: vehicle titles to the registration agent, plates back to the dealership, complete wheels from wheel storage, painted body parts from the body shop.
What goes wrong is rarely the driving. It is documents that vanish between two sites: a lost registration certificate Part II blocks any change of keeper until the official public notice period has run out. It is exchange parts whose old core does not go back complete or in the original packaging, so the core deposit is forfeited. And it is airbag modules or starter batteries that, as dangerous goods, do not belong in a normal courier transport.

A customer's car is on the lift at a dealership in Leverkusen-Opladen, and the exchange brake caliper is at a parts wholesaler in Cologne-Porz. A car collects it and drives straight to the workshop. The second stop on the same order goes back to the wholesaler: yesterday's old core travels complete and in the exchange part's original packaging so the core deposit is credited. Both handovers are documented with a signature.
Registration papers to an agent in Düsseldorf
A dealership in Düsseldorf-Oberbilk sends the documents for six registrations to its registration agent: registration certificates Part II, powers of attorney, direct-debit mandates for vehicle tax and the insurance confirmation numbers. Vehicle documents are security documents
The registration certificate Part II is a document with security features. If it is lost, section 14(5) of the German vehicle registration ordinance (FZV) requires the loss to be reported to the registration authority without delay; on application, the Federal Motor Transport Authority publishes a public notice with a deadline, and a new certificate may only be issued once that deadline has passed. So only hand over documents in a sealed, labelled envelope and name a specific recipient. The handover is documented with signature and timestamp.
Send registration papers complete
To re-register a vehicle, the City of Cologne, for example, requires registration certificate Part I, Part II as well for a change of keeper or plate, the keeper's ID, the insurer's electronic confirmation number, proof of the latest roadworthiness test and a direct-debit mandate for vehicle tax; with a representative, also a power of attorney and the representative's ID. The registration itself is done by your dealership or your registration agent. We carry the documents – if a page is missing, the driver cannot replace it.
Dangerous goods among spare parts
Some spare parts are dangerous goods under ADR: airbag modules, gas generators and seat-belt pretensioners (UN 3268, class 9), starter batteries filled with acid (UN 2794, class 8) and, as a rule, lithium-ion batteries from electric and hybrid vehicles. We do not carry dangerous goods that require labelling. State the type of parts when booking and have the wholesaler ship such parts through its dangerous-goods service; the rest of the order travels as a direct drive.
Return old cores and recover the deposit
For exchange parts such as starters, alternators, turbochargers or brake calipers, the supplier charges a core deposit. It is only credited if the old core comes back complete, not dismantled and without serious mechanical damage, usually in the exchange part's original packaging. Pack the core accordingly, add the return slip and add the return drive as a stop on the order. The photos in the proof of delivery show the condition in which the core was handed over.
Body parts, wheels and damage
Painted body parts need film, edge protection and a box – under section 411 of the German Commercial Code (HGB), that packaging is the sender's job. Label complete wheels per customer and position. In the vehicle, the driver secures wheels and parts against slipping and tipping as section 22 StVO requires. Under section 438 HGB, visible damage is reported at handover at the latest and concealed damage in text form within seven days; the photos in the proof help.
Which vehicle suits which part
In town, vehicle documents and plates can also go by cargo bike; otherwise by car with up to 100 kg – which also takes sensors, control units and brake parts. Complete wheels, bumpers and doors go in the compact van with up to 400 kg. Several wheel sets, gearboxes or assemblies on a pallet travel in the van with 900 kg or the Sprinter with 1,000 kg payload.
