Originals and deadline paperwork
A signed contract, a case file, a certified deed: the distance between law firms in central Cologne and notaries in Düsseldorf is short, but the deadline rarely is. If the original is still in the wrong building by the evening, a scan will not save it – the signing falls through. Express and emergency couriers: what to know before you book
Terms, decision rules and preparation for urgent shipments where a delay costs a deadline, a shift or an order.
Courier or express: what ‘express’ means at a parcel carrier
In the courier, express and parcel market (known in Germany as KEP), the three terms describe different processes. A courier service accompanies the shipment from collection to delivery without handing it over at a sorting centre. An express service moves shipments through a network with transhipment and promises a fixed, often guaranteed delivery date in return – typically the next working day. A parcel service works with standard sizes and standard transit times.
So when a parcel carrier sells ‘express’, it usually means: faster through the network, but still via depot and hub. That does not help a shipment that has to arrive today, or a part that must not be reloaded.
The Maxmove express courier is a direct drive: one vehicle collects and drives to the recipient without stops in between. Ask yourself two questions before booking: does the shipment have to arrive today, and may it be transhipped? If the answer is no both times, parcel express is enough. Otherwise the courier is the right choice.
When an emergency courier pays off
An emergency courier is not a separate vehicle type but an express courier for cases where waiting costs more than the drive. The calculation is quick once you put the right items side by side.
On one side is the instant price of the drive, which you see before booking. On the other are the knock-on costs of waiting: a stopped production line and the wages of the shift, a contractual penalty, a missed notary appointment, a trade fair stand without its exhibit, a customer who places the order elsewhere.
Three questions help you decide. First: is there a fixed point in time from which the damage occurs – start of shift, expiry of a deadline, opening of the fair? Second: would parcel express with delivery on the next working day still meet that point? Third: can the recipient actually accept the shipment at the planned time?
If the first answer is yes and the second is no, the direct drive is the economical solution. If the third question is open, sort out acceptance first – otherwise the courier arrives on time at a closed gate.
Booking an express courier: details that make the drive faster
With urgent shipments, most time is lost not on the motorway but at either end of the route: the driver looks for the right entrance, waits for the contact person or loads a part nobody has put ready. These details therefore belong in the order:
– the exact address with gate, hall, building section or floor, and for industrial sites the registration at the gatehouse;
– a reachable mobile number at both the collection and the delivery address, not the switchboard;
– number of packages, dimensions and weight – this decides whether a car, a compact van or a Sprinter drives;
– whether the shipment is packed and ready, and who hands it over;
– a reference or order number for goods receipt; an enclosed delivery note makes acceptance easier.
For spare parts, a photo of the rating plate or part number in the order is worthwhile: the recipient sees at once whether the right part is on its way. Pass the tracking link straight to the person who will receive the part – not to purchasing, who may have left for the evening.
Deadline documents by courier: when a letter counts as received
For contracts, notices of termination or offers with a deadline, what counts is not when you send the document but when it reaches the recipient. Under Section 130 of the German Civil Code (BGB), a declaration made to an absent person takes effect at the moment it is received. According to settled case law, it has been received once it has entered the recipient’s sphere of control in such a way that, under normal circumstances, they can take note of it.
For planning, this means: at a business, notice can generally be expected during normal business hours. An envelope that arrives late in the evening on the last day of the deadline may therefore be too late, even though it was handed over on the same day. Plan the handover before the recipient closes for the day and state in the order who should receive it – for example the reception desk or post room that accepts mail for the recipient.
The proof of delivery records the time, the signature of the person accepting it and photos of the handover. It does not prove what was in the envelope. If you need to prove the contents, have a second person witness the enveloping and note this in your file.
Emergency courier on Sundays and public holidays
Many urgent shipments arise exactly when regular supply chains are idle: the plant breaks down on Saturday evening, the trade fair stand needs restocking on Sunday, the public holiday falls in the middle of commissioning. Legally, this is no obstacle for the vehicles you book online with Maxmove. The Sunday and public holiday driving ban under Section 30(3) of the German Road Traffic Regulations (StVO) applies to commercial goods transport with lorries over 7.5 t permissible total mass and to trailers behind lorries. Cars, vans and 3.5 t box vans are not covered.
At weekends, the bottleneck is therefore rarely the road but the other end: is the warehouse that releases the shipment staffed? Can the driver get onto the plant site if the gatehouse is on skeleton staffing? Who signs for acceptance? Clarify these points before booking and enter the names in the order.

What an express courier cannot simply take along
Urgent shipments are often spare parts, samples or lab supplies – and these include dangerous goods more often than people think: spare parts with a built-in lithium battery, aerosol cans, flammable paints and adhesives, samples in solvents. Whether an item is dangerous goods under the ADR and how it is classified must be clarified by the consignor before handover (Section 18 GGVSEB). The consignor must point out the dangerous goods to the carrier with the order and, for goods in limited quantities, state the gross mass.
So declare such contents before booking and talk to us rather than letting them travel as ‘spare part’. We clarify in advance whether the transport is possible and with which vehicle.
Even without dangerous goods: declare very valuable shipments – prototypes, measuring instruments, original documents – with their value so that the insurance cover matches the order. Loads that are longer, heavier or bulkier than a van can take should be requested as a special transport. The same principle applies as with the express courier: one vehicle, one shipment, no stops in between.
