Why medical aid logistics is different from parcel shipping
A medical supply store delivers things somebody is waiting for. The care bed has to be in place before the patient leaves hospital, the commode chair on the evening of discharge, the alternating-pressure mattress before a pressure ulcer gets worse. Add rollators, wheelchairs, shower stools, supports consumable care aids for home care and incontinence products for care homes and residential groups. Many aids are only lent to the patient by the health insurer (Section 33(5) SGB V) – they come back, are reprocessed and issued again.
That makes the logistics two-way: bulky, sometimes heavy goods carried into flats without a lift, plus collections where accessories may be missing and nobody knows whether the hand control was already gone at pickup. Your own delivery service is often fully booked when the hospital discharges at short notice, and nobody accepts a care bed as a parcel.
Maxmove runs every delivery as a direct drive in the vehicle you choose at booking – from a car for supports to a 3.5-tonne box van for fitting out a residential group. On request a second person comes along to carry (two-person handling). Every handover and every collection is documented with timestamp, signature and photos. Advice, set-up and instruction stay with your specialists.

Typical runs for medical supply stores in NRW
What supply looks like in Essen, Dortmund and Bielefeld.
Essen: care bed for a discharge
A patient is being discharged from a hospital in Essen-Holsterhausen and will be cared for at home in Steele. The store books a van with carrying help for the morning: dismantled care bed, mattress and commode chair go from the warehouse straight into the second-floor flat. The daughter signs for the delivery, and the photos show what was put where. Set-up and instruction are done by the store's technician, who sees the arrival in live tracking and joins.
Dortmund: monthly round to care facilities
A store supplies care homes and residential groups in Hörde, Aplerbeck and the city centre every month with incontinence products and other aids for the residents it looks after. The round is set up as a recurring order, and the compact van covers all stops in a fixed sequence. At each facility the nursing manager or the ward signs. The proof of delivery per stop saves phoning round to find out whether the boxes arrived and who took them.
Bielefeld: collection for reprocessing
After several care cases end, a store in Bielefeld collects two care beds and a wheelchair from flats in Sennestadt and Brackwede. A Sprinter runs the round and takes the returns straight to reprocessing, not to the dispatch warehouse. At every pickup the driver photographs what is handed over – with hand control, side rails and lifting pole, or without. That settles which accessories were missing before the bed reaches the next patient.
What to settle before a medical aid travels
Maxmove transports. Advice, instruction, hygiene and billing with the health insurer stay with your store – these points belong in the planning of every delivery.
Advice and instruction stay with you
Under Section 33(1) SGB V, the patient's entitlement covers not only the aid itself but also training in its use. Section 127(5) SGB V requires suppliers to advise insured persons beforehand, document the advice and have it confirmed by signature. A driver cannot replace that and does not assemble beds. So plan with two roles: Maxmove delivers to the place of use, and your technician assembles, checks the function and instructs – ideally straight after the delivery.
Returns, reprocessing, reissue
Health insurers may lend aids to insured persons (Section 33(5) SGB V); the details of reissuing them are set out in your contracts with the insurers (Section 127(1) SGB V). Used beds and wheelchairs therefore go to your reprocessing area, not back to the warehouse. So that reprocessed equipment does not get soiled again, returns travel covered or wrapped and not together with equipment fresh from reprocessing. Note at booking which accessories belong to the device; the pickup photos show what was actually handed over.
Loading, securing, carrying
Under Section 412 of the German Commercial Code, the sender loads the goods securely for transport unless agreed otherwise, while the carrier is responsible for loading that is safe to drive with. Section 22 of the German Road Traffic Regulations requires the load not to shift even under emergency braking. For aids, that means beds dismantled, parts padded, hand controls and power supplies fixed to the bed, wheelchairs strapped down with brakes on. Whether heavy power wheelchairs or lifts can be loaded without a ramp or tail lift is something to clarify before booking – otherwise it is a special run on request.
Health data in the delivery address
Delivering a care bed to a named person reveals something about their health – such information is data concerning health within the meaning of Article 4(15) GDPR. So give only what the driver needs in the booking: name, address, floor and the phone number of the contact person. Diagnosis, prescription and payer do not belong in the driver notes. Put your delivery note and the receipt form for billing in a sealed envelope.
Oxygen cylinders are dangerous goods
Medical oxygen in compressed gas cylinders is dangerous goods: UN 1072, class 2 with subsidiary hazard 5.1. Such cylinders are not part of a Maxmove booking; your gas supplier delivers them with the equipment required for that. Care beds, wheelchairs, mattresses and consumables travel as normal – so plan oxygen supply and aid delivery for new patients as two separate appointments.
Which vehicle for which delivery
The car carries supports, orthoses and compression stockings. Rollators, commode chairs and boxes of care aids fit into the compact van. A dismantled care bed with mattress usually travels in the van with a 2.6 m load length, two beds or a bed and a wheelchair in the Sprinter L2. Take the 3.5-tonne box van for several beds at once, for example to fit out a new residential group.

Why Maxmove for Medical supply stores
Delivery on the day of discharge
When the hospital discharges at short notice, book the run yourself instead of rescheduling your own delivery service. You see the earliest pickup window at once, and the instant price is fixed before booking – including deliveries with carrying help into the home.
Fixed rounds to care homes and residential groups
We set up monthly deliveries of consumables and weekly routes to care facilities as recurring orders. Each stop gets its own proof of delivery with timestamp and the signature of the person who accepted it.
Collections with photo evidence
For returns, the driver documents with photos what was handed over. Missing accessories show up before reprocessing, not when the next patient needs the bed. Billing is by invoice, on request as a monthly collective invoice.
