Small transport or renting a van: decision, payload, preparation
When a van with driver is worth more than renting, how much a small van may really carry and what should be sorted out before collection.
Van with driver instead of self-hire: when a small transport pays off
Rent a van and you take on three roles: driver, loader and the person liable. With a small transport with driver, you instead conclude a contract of carriage (Section 407 of the German Commercial Code, HGB): the carrier undertakes to bring the goods to the destination and deliver them there, and under Section 425 HGB is liable for loss or damage between taking over and delivery.
This gives a simple rule of thumb. A small transport pays off when it is a few items on a fixed route – a sofa, a washing machine, a shelf unit from the furniture store, material for a building site. In that case most of the rental time goes on collecting, refuelling and returning the van, on top of driving an unfamiliar vehicle through the city centre. Renting tends to pay off if you are moving all day with your own helpers, visiting many stops on your own schedule or need the vehicle for several days.
Then there is the driving licence: a category B licence lets you drive vehicles up to 3.5 t permissible total mass; above that, the lorry category C1 starts. You will find a comparison with concrete rental offers on the page renting a van in Cologne.
Payload and gross weight: what a small van may really carry
Floor space is rarely the problem – weight is. A van may only carry as much as lies between its unladen weight and its permissible total mass. Both figures are in the German registration certificate part I: field F.2 gives the permissible total mass, field G the mass in running order – which already includes a 75 kg driver and a largely full tank. The difference is the payload for cargo, passengers and equipment. The heavier the body and fittings, the less is left for the load.
That is why we state a booked payload for each vehicle class: up to 400 kg in the compact van, up to 900 kg in the van, up to 1,000 kg in the Sprinter, up to 1,200 kg in the 3.5 t box van and up to 3,000 kg in the 7.5 t truck. Heavy items on a small footprint – a workbench, a safe, tiles on a pallet – reach this limit long before the load space is full.
State the weight as accurately as possible when booking. If you do not know it, the data sheet, rating plate or the seller’s delivery note will help. Furniture in a small van: check dimensions, position and access before booking
With furniture and appliances, it is rarely the volume that decides, but a single dimension: the height of a fridge, the length of a sofa, the diagonal of a wardrobe in the stairwell. So measure the largest item and compare it with the load space. A mid-size van has a load floor of 2.6 × 1.6 m with around 1.35 m interior height; a Sprinter L2 offers 3.2 × 1.7 m with about 1.8 m height.
Height matters for appliances that should travel upright. Fridges and freezers are best transported upright because of the compressor oil; if they were lying down, manufacturers recommend a waiting time before switching on. More on this on our page on fridge transport.
The route to the vehicle is just as important: door widths, stairwell, lift car, floor and distance to the nearest place to stop. These details belong in the notes field. Dismantling and assembly are not part of the transport – take wardrobes apart beforehand and attach screws and fittings to the furniture in a bag.
Securing the load in a van: who is responsible for what
In a panel van, cargo slides more easily than people think, because there are no stakes or side boards for it to rest against. The German Road Traffic Regulations are clear: the load must be stowed and secured so that, even under full braking or a sudden evasive manoeuvre, it cannot slip, tip over or fall off; the recognised rules of technology apply (Section 22(1) StVO), in Germany above all the VDI 2700 guideline series.
The German Commercial Code sets out who does what: unless otherwise agreed or customary, the consignor loads the goods safely for transport and the carrier ensures loading that is safe for operating the vehicle (Section 412 HGB). For a small transport this means in practice: you have the goods ready for transport – drawers emptied or secured, glass padded, loose parts in boxes. The driver positions the load so that the vehicle drives safely and secures it with straps on the lashing points, with anti-slip mats or by blocking it against the front wall.

Having a classifieds purchase collected: what to agree with the seller
Many private small transports start with a classified ad: a wardrobe in Essen, a display cabinet in Bochum, a workbench in Duisburg. To make sure collection works first time, agree four points with the seller in advance.
Handover: when will someone be there to hand the item over, and how can they be reached? Their number belongs in the order as the contact at the collection address.
Payment: settle the purchase price directly with the seller, for example by bank transfer before the collection date, so the handover does not stall over money.
Condition: ask for current photos and agree that wardrobes are dismantled and small parts packed when the driver arrives.
Location: floor, lift, cellar stairs and parking situation go in the notes field. If the item is on the third floor without a lift, book the carrying helper at the same time.
