Hotels plan their logistics for normal operations: the laundry delivers on a fixed schedule, the drinks wholesaler on fixed days, the event hire company to order. It gets tight when occupancy jumps – during major trade fairs in Cologne and Düsseldorf, or when a conference adds twenty participants the day before. Then bed linen and towels, coffee and breakfast supplies, chairs, chair covers or a second projector run short.

On top of that comes everything day-to-day operations do not plan for: a spare part for the kitchen dishwasher, mattresses and TVs for a room refurbishment, lost property a guest wants back. Sending the maintenance technician off in his own car ties up staff the property needs, and leaves no record of when what arrived.

  • Cologne: linen restock during trade fair week

    During a major trade fair at the Koelnmesse grounds, a hotel in Deutz is fully booked and the regular linen delivery is not enough. The executive housekeeper books a Sprinter that collects extra towels and bed linen from the laundry, film-wrapped and in sealed sacks. Delivery is to goods intake in the yard, where the head of housekeeping signs for the quantity. Soiled linen does not go back on the same run but with the laundry's regular collection.

  • Düsseldorf: extra equipment for a conference

    A conference hotel near Messe Düsseldorf in Stockum learns the day before that twice as many guests are coming to a conference's evening reception. Poseur tables, chair covers and chafing dishes are ready at an event hire company in Lierenfeld. The 3.5-tonne box van collects everything, with carrying help from the loading yard to the banquet hall. The banqueting manager follows the drive live and plans the set-up around the arrival time. The return the next morning is a second booking.

  • Bonn: lost property straight to the guest

    A conference guest left a laptop charger and papers in a room at a hotel in Bonn's Bundesviertel and is already in a meeting in Bad Godesberg. Reception packs the items into a sealed envelope, books a car and enters the guest's name and phone number as recipient. The guest signs at handover, and the proof of delivery with photo goes into the property's lost property records.

What needs to be settled for hotel deliveries

Hygiene, chilling, load and delivery point: these points decide whether goods arrive in usable condition – and who is responsible for what.

  • Food: hygiene and the cold chain

    Annex II, Chapter IV of the EU food hygiene regulation (EC) No 852/2004 requires clean transport containers, strict separation of foodstuffs from other goods where necessary, and containers that can keep food at appropriate temperatures where needed and allow transport temperatures to be monitored. Responsibility lies with the food business operator – your property or your supplier. We arrange temperature-controlled transport as soon as a suitably equipped vehicle is available; alternatively, chilled goods travel passively in suitable insulated boxes packed by you or your supplier.

  • Linen: clean and soiled kept apart

    The laundry hands over clean linen packed – film-wrapped, in sealed sacks or covered trolleys – and that is how it should arrive. Soiled linen does not belong on the same run; book returns to the laundry as a separate run. Because every run is a direct drive, no other customer's load goes into the load space. Enter the number of sacks or trolleys at booking; the photos in the proof of delivery show the condition they were in at goods intake.

  • Drinks, furniture, heavy goods

    Under Section 412 of the German Commercial Code, the sender loads goods securely for transport unless agreed otherwise, while the carrier is responsible for loading that is safe to drive with. Section 22 of the German Road Traffic Regulations requires the load not to shift or tip over even under emergency braking. Drinks crates therefore travel packed tightly and secured, kegs upright, poseur tables and chairs stacked and strapped.   • CO₂ cylinders are dangerous goods

    Carbon dioxide in compressed gas cylinders for draught and dispensing systems is dangerous goods (UN 1013, class 2). Such cylinders are not part of a Maxmove booking; they come via your drinks or gas supplier, who carries them with the required equipment. Kegs without a gas cylinder, drinks crates and other bar equipment travel as normal. For events, plan drinks and gas as two separate deliveries.

  • Delivery point: goods intake, not the lobby

    At booking, give the address of goods intake rather than the hotel's postal address, plus the entrance height of the yard or underground car park, the contact person and phone number. In pedestrian zones and old towns such as Cologne's or Düsseldorf's, delivery traffic is often only allowed at signposted times – plan the pickup so the vehicle arrives within that window. The driver hands shipments intended for guests to reception against signature.

Which vehicle for which hotel run

The car carries lost property, spare parts and small top-up deliveries. Laundry sacks, amenities and coffee supplies fit into the compact van. The van with a 2.6 m load length takes more linen or drinks crates, and the Sprinter L2 with 1.8 m interior height also takes taller linen trolleys.
